Managing the shop

This tutorial guides administrators through the complete shop administration workflow: Basic settings, articles, groups, media, payment methods, sales channels and orders.

Condition: The area Shop Admin is intended only for authorized administrators. For payment providers, use sandbox or test mode first and do not enter production credentials into training or screenshot systems.

The recommended set-up sequence

1. Open shop dashboard and settings

Open in the admin menu Shop. The dashboard is the entry into articles, orders, groups, channels, media and settings. Start settings for a new installation before publishing articles.

2. Set checkout, shipping and legal texts

  1. Decide whether guest orders are allowed.
  2. Activate legal text snapshots if the text is valid when ordering is to be documented.
  3. Then verify the terms and the cancellation policy.
  4. Configure digital delivery or flat-rate shipping.
  5. Test the shipping costs with a digital and a physical item.
Order snapshots: Item name, price, tax, shipping and legal texts are treated as the status of the order during the ordering process. Subsequent article changes should not retroactively change an existing order.

3. Set up payment methods securely

Activate only payment types that are fully set up and tested. Prepayment and invoice are local payment methods; PayPal and Amazon Pay require additional valid provider data.

  1. Activate the payment method and provide a clear customer-facing note.
  2. For prepayment check account holder, IBAN, BIC and use.
  3. For online providers, choose Sandbox first.
  4. Enter client ID and secret only in the designated protected fields.
  5. Run connection test and read error message completely.
  6. Check in the frontend whether only actually available payment methods appear.
Never: Copy access data into description texts, screenshots, tickets or logs. A browser return or URL alone is not evidence of payment; What matters is the server-side tested provider response.

4. Prepare article groups and attributes

Article groups control structure, presentation and common characteristics. Create the group first and then add any required attributes such as size, color, material or runtime.

  • Maintain group name and understandable description.
  • Select suitable map and detail representation.
  • Release only meaningful attributes as catalog filters.
  • Use fallback images for groups if not every article has its own media.

5. Create an article completely

  1. Master data: Enter unique SKU, title, URL slug and description.
  2. Status: Leave items inactive until all details are checked.
  3. Price: Control the amount, tax bracket and desired price display.
  4. Stock: Set inventory, reservation and sale at zero inventory.
  5. Groups: primary group and other assignments.
  6. Attributes: Fully maintain visible and filterable values.
  7. Dispatch: Assign digital delivery or appropriate shipping group.
  8. Media: Main image, further product images and alternative text supplement.
  9. Channels: internal shop channel and if necessary. Check marketplace mapping.
  10. Release: Test the frontend detail page and only then activate it.

6. Use product images and CMS media

Product images are connected to registered CMS media via the shop media allocation. In this way, file maintenance, alternative texts and reuse remain traceable.

  • Use a clearly recognizable main image and in sufficient resolution.
  • Arrange more pictures in a meaningful order.
  • Alternative text describes product and view, not “Figure 1”.
  • After a change of image catalog card and product detail check on desktop and mobile.

7. Checking sales channels and mappings

An active channel alone does not publish an article. Depending on the provider, external category, guidelines, access data, SKU, titles and other mandatory fields are required.

  1. Activate channel and check connection in test mode.
  2. Assign articles to the channel directly or via a channel group.
  3. Maintain channel-specific category and mandatory information.
  4. Automatic readiness check and complete missing information.
  5. Confirm external publication as a explicit action.
  6. Control feedback, external ID and error status.

8. Processing orders

In the order report, search and filter by order number, customer, status, payment or channel. Open the record about the action in the right column.

  1. Check order number, customer, positions, sum and origin.
  2. Change the payment status only on the basis of reliable evidence.
  3. For shipping service providers, maintain tracking number and tracking URL.
  4. Set invoice number and invoice date after operational processing.
  5. Save status and check history for the expected entry.
  6. Send customer mail only after storage and with suitable status.
